  • Overview

    Under general supervision, provides administrative support to the Customer Service Department. Responsible for invoicing, reporting and general administrative and clerical support. Must demonstrate a basic understanding of the business service area, clients, key terms and service offerings. Requires the ability to exercise independent judgement and employ basic reasoning skills.

    Responsibilities

    • Support the Director and Customer Service team in executing key business initiatives.

    • Send and track email and mailed correspondence to customers.

    • Sort and mail and/or email out invoices.

    • Respond to customer invoice inquiries.

    • Provide general administrative and clerical support.

    • Perform sales analysis reports.

    • Prepare correspondence and documents.

    • Compile weekly reporting from team members.

    • Monitor departments email box and distribute to team members.

    • Coordinate trainings/meetings, travel and organize catering.

    • Complete expense reports.

    • Maintain department PDO records.

    • Track shipments using web (as needed).

    • Scan and file daily invoices and faxed orders (as needed).

    • Ensure knowledge of staff movements in and out of organization.

    • Work with cross‐functional teams on various projects.

    • High level of professionalism and demeanor.

    • Other duties as assigned.

    Qualifications

    • High school diploma or equivalent; College Degree is a plus.
    • 3 years related Administrative experience, or equivalent combination of education and experience.
    • Proficient with Word, Excel, Outlook, Power Point and Access.
    • JD Edwards experience a plus.
    • Experience in coffee industry or another specialty food product (nice, but not required).
    • Ability to calculate figures and amounts.
    • Accuracy and attention to detail.
    • Positive attitude.
    • Accurate keyboarding skills.
    • Ability to manage multiple tasks effectively, while handling frequent interruptions.
    • Attention to detail necessary to ensure quality work.
    • Self‐motivated individual.
    • Excellent communication and presentation skills. Ability to convey ideas clearly and effectively, both verbally and in writing.
    • Ability to travel as needed.
